Information we receive
When you enquire, we may receive your name, business name, email address, telephone number (if provided), your enquiry and subsequent correspondence. If you become a customer, we may also process proposal, contract, billing and project-related information. Please avoid providing sensitive personal information unless necessary and agreed.
Where information comes from and is kept
Information may come directly through email, from the RRAS enquiry form and associated Systeme.io funnels, and through our communications with you. We use email and a Google Sheets-based customer relationship management (CRM) record to manage enquiries and follow-ups. RRAS funnel submissions are also recorded in Systeme.io's leads records. Associated documents may be held in Google services.
Purposes and lawful bases
- Responding to enquiries and preparing proposals: legitimate interests in responding to business enquiries, or steps requested before entering a contract.
- Delivering agreed services and communicating with customers: performance of a contract where applicable, or legitimate interests where the customer is a business entity and contact details relate to its representatives.
- Invoices, accounting and legally required records: compliance with legal obligations.
- Protecting business interests and handling complaints: legitimate interests in maintaining accurate records and resolving disputes.
We do not plan to use website analytics or advertising trackers at launch. We do not currently describe a general marketing-email subscription on this website. If marketing is introduced, we will provide appropriate information and choices.
Sharing information
We may share information necessary to respond to an enquiry or deliver an agreed service with selected external specialists, where their involvement has been explained as appropriate. We also use service providers including email, Google services and Systeme.io. A specialist who contracts directly with you may act as an independent controller of information it receives. We do not sell personal information.
International processing
Some cloud providers may process or access data outside the UK. Where required, appropriate transfer safeguards must apply under UK data protection law. Provider privacy information and terms may give further details.
How long we keep records
We retain enquiry and project information for as long as reasonably needed for the stated purposes, including follow-up, contractual obligations, dispute resolution and any statutory record-keeping duties. Financial records may need to be kept for at least five years after the relevant tax-submission deadline under applicable HMRC rules. We review information periodically and delete or anonymise it when no longer needed.
Security
We take reasonable steps to limit access to records and protect the accounts and systems used for customer information. No electronic service can be guaranteed completely secure.
Your rights and complaints
Depending on the circumstances, you may have rights to access, correct or erase personal information, restrict or object to processing, and data portability. Contact us by email to exercise your rights. You can also complain to the Information Commissioner's Office.
